Monthly Meeting Minutes
Dec. 20, 2006, Sliders Seaside Grill

In attendance: Bill Beaumont, Bruce Dunham, Caroline Fanelli, Joe Fanelli, Ed Hardee, Gary Haslip, Rosa Haslip, Jim Hill, Bill Pennington, Emilie Pennington, Marilyn Roberts

Vice President Bill Pennington called the meeting to order at 7:40 p.m.

Treasurer’s Report – Bruce Dunham reported record proceeds from the Reindeer Run at $7,000.00. Race expenses - $619.00 (some expenses, including T-shirt printing, have yet to be submitted) and proceeds to charity - $2,500.00. Current balance is $7,500.00.

New Business:
Pirates on the Run will include a 5K/10K race along with a kids' fun run. Bill Pennington distributed race applications for review. Age group awards will be the same as the Reindeer Run. Emilie will add to the application that a “non-competitive” walk begins at 8:35 a.m. Distance for walkers will be changed to two miles, so they will have the one-mile marker as a turnaround point.

Marilyn Roberts suggested walkers receive bib numbers to be eligible for door prize drawing. Members agreed unanimously.

Marilyn Roberts was named secretary of the club, succeeding Jill Staples, whose schedule no longer allows it.

Backup for the time machine for races was discussed. All members agreed to use the tab/spindle method for backup.

Title sponsor for Pirates on the Run was discussed. Members agreed not to have a title sponsor and stay with t-shirt sponsors.

Kudos went out to Ed Hardee for the website. Bill Pennington reported there have been numerous page views.

Members discussed the need for extra newsletters to have available at membership table during races. Emilie Pennington said the newsletter is a great marketing tool for the club. Members agreed to have 50 additional copies printed, to be given away at races.

Pirates on the Run applications will be inserted in the Winter Beach Run packets.

Proceeds from the Pirates on the Run will go towards the annual scholarship program for an outstanding high school runner.

John TenBroeck submitted Reindeer Run race results to the Times-Union Sports Department. The Times-Union ran the names of all of the age-group winners.

Bill Pennington will submit advertising for the Pirates on the Run race in January.

Discussion on ways to recognize sponsors. I.e. Thank You letter in AIR newsletter and then take the sponsors copies of newsletters.

Report by Mike Leary on furthering AIR’s involvement of inspiring youth to get involved in running at the high school level.

Pirates Revenge Trail and Beach Run Update: Last weekend in March is target date. Start and end at Main Beach. Run includes trails in Ft. Clinch. Approximately 13 K.

NEW BUSINESS:
High School Runner Scholarship program.
The following was voted on and passed by majority vote:
One $500.00 Scholarship will be offered to one High School Team runner (cross country or track n’ field) from one of the following schools: Fernandina Beach HS, Yulee HS, Hilliard HS, West Nassau HS.
Eligibility Requirements and selection process:
Runner on team in a Nassau County Public HS
College Bound
Minimum GPA of 3.0
One Annual $500.00 Scholarship
Application will be submitted
Recipient will be determined by scholarship committee
Presentation of Check may be at an Awards Ceremony if the HS has such an event. John will research.

AIR MONTHLY MEETING LOCATION – By unanimous vote, the location of all future AIR meetings will be held at Slider’s Restaurant. John will inform the REC Center.

Carolyn Peeples is requesting assistance to make final selection on Reindeer Run artwork design winner.

Oct. 18, 2006, Sliders Seaside Grill

Meeting was called to order at 7:30 p.m. by Club President John McBrearty.

Treasurer’s report from Bruce Dunham: $2,000 of Turtle Trot proceeds has been disbursed to the Amelia Island Sea Turtle Watch, leaving a net of approximately $2,300. The club’s balance is about $7,200, less payment due for the new T-shirt shipment, which will be approximately $600.

Old business: Caroline Fanelli discussed the Crop Walk to fight hunger, sponsored by Church World Service. The local walk will begin 9 a.m. Nov. 18, in front of the Methodist Church on Centre Street. A quarter of the proceeds raised locally will go to the Barnabas Center, which provides a local food bank. On a motion by Bill Pennington, the members voted unanimously that the club will donate $200. It will be a 3-mile fund-raising walk, and all Amelia Island Runners are urged to participate and wear our club T-shirts.

John McBrearty reported on planning for the Reindeer Run on Dec. 9. Elizabeth Pointe Lodge will again provide certificates for a free breakfast to all pre-registered 5K and 10K runners and walkers. The YMCA will provide volunteers, as will the Healthy Families/ Healthy Start program, which receives some proceeds from the event. John proposed also providing some proceeds to the Barnabas Center, if Barnabas wishes. The members agreed unanimously.
The route for the race was also discussed; it will be entirely inside Fort Clinch. The children’s runs will be around the Recreation Center area so the kids won’t be running on Atlantic Avenue. Mike Leary said the 5K/10K runs along Atlantic Avenue provide good exposure for the race, but parking should be prohibited along Atlantic Avenue. John said we may need to take this up for the Turtle Trot next year, since we probably won’t be able to run it entirely in the fort (the park will be busy on Labor Day weekend).

John noted that we have discussed establishing a scholarship program for an outstanding high school runner who is a graduating senior, but we need a committee to set guidelines. Mike Leary, Bill Beaumont and Bruce Dunham agreed to serve. Bruce proposed making the scholarship $500 per year. There was discussion of whether to provide the scholarship annually or on an individual basis, rolling over the money from year to year. The committee will make recommendations.

John asked for guidance from the club on whether to add a 5K to the Pirates on the Run 10K, which is now an Amelia Island Runners event and will be held Feb. 17, 2007. The members agreed. John said the 5K could follow the same route as the just-concluded Dignity U Wear 5K, which starts at City Hall, as does the Pirates 10K.

Bill Pennington informed the club that a 5K run will be held at the Amelia Island Plantation on Thanksgiving morning at 8 a.m., starting and finishing at the Verandah Restaurant. It will be open to the public this year for the first time. Details will be posted on our club website soon.

The group discussed the need to begin our Tuesday and Wednesday night training runs earlier, starting the first week in November. Because of the change back to Standard Time, it will be dark at our usual 6 p.m. starting time. Starting in November, Bill Beaumont will send emails to everyone weekly to notify us of the time and place of each Wednesday night run. An email will also be sent regarding the start time for the Tuesday night runs. In the meantime, Ed Hardee and Bill Pennington will request a meeting with the appropriate officials to ask if we can use the FBHS track, with lighting.

President John McBrearty called the meeting to order at 7:30 p.m.
Bruce Dunham read the Treasurer’s report. Current balance is $9,068.00 before we pay for club shirts and transfer Turtle Trot profits to Amelia Island Sea Turtle Watch. Members agreed to donate $2,000.00 to the Turtle Watch.

New Business
Reindeer Run -– John McBrearty reported the Reindeer Run will be held at Fort Clinch and runners will run entirely in the Fort. The kid’s run will be at the Rec. Center or in Fort Clinch.
Bill Pennington recommended giving second and third place awards for the kid’s one-mile runs. Members present agreed to give 1st, 2nd and 3rd place awards for the kid’s one-mile run. Bill also recommended we continue to give First Timer Awards for 5K and 10K participants. All members present approved to continue the First Timer Awards.
Bill suggested that Carolyn Peeples be recognized for her outstanding work organizing the kid’s run. Discussion followed with a decision to present Carolyn with an Amelia Island Runner’s high tech running singlet.
Joe Fanelli proposed the Amelia Island Runners contribute money to the Crop Walk to be held in November. The Crop Walk is a Church World Service to help fight world hunger. The walk will begin at 6th and Center Street and will go to the Recreation Center and back. Joe made a motion to approve support for the Crop Walk. Motion was unanimously approved. Discussion followed regarding the amount of money to contribute for the Crop Walk. Decision will be tabled until the October meeting.
Michael Leary reported the Fernandina Beach High School Cross Country team participated in a meet at Jekyll Island. Approximately 40 teams participated in this event. There were teams from South Carolina, Jacksonville and Georgia. Shelby Kitrell finished 5th in the race with a P.R. time of 19:44 on the cross-country course. Next week the Fernandina Beach Cross Country team will compete at Ridgeview in Orange Park.
Michael also suggested AIR coordinate an annual awards banquet for members in the club and recognizing outstanding club members who have contributed to the success of the club and running events, and awards for high school participants for their achievements.
Amelia Island Runners will assist with the Dignity-U-Wear 5K October 14, 2006. Applications will be available at Stein Mart or register online at Active.com. John McBrearty reported he would be assisting with the Dignity-U-Wear 5K by providing club equipment for timing the race.
St. Marys’ Rock Shrimp Festival 5K/10K run will be on October 7 at 7:30 a.m.

Summer Youth Camp: Report by Mike Leary and John McBrearty. Extremely well received by FBHS Cross Country Coach, Mark Durr, and all participants! Great publicity! Everyone learned something.
Results of survey asking for feedback on holding AIR meetings Tuesday or Wednesday. Wednesday it is!
John reported that new AIR mesh shirts will hopefully arrive before the Turtle Trot/

Treasurer’s Report – Bruce Dunham reported the current balance is $6,125.16.

Old Business
Summer Running Camp – Running camp was a great success. AIR will follow through and get the word out to schools earlier next summer with the possibility of starting camp in June.

Turtle Trot – Bill Pennington will make changes to the flyers for the Turtle Trot. The kids run will begin at 9:45 a.m. The division of age group awards was discussed. The 30-39 age group will change to five-year increments (30-34 and 35-39) and the 50 age group will change from five year to ten year split for male and female. Awards will be given to first overall male/female and master’s male/female.

Tie dying race t-shirts will be available to all participants.

Jill Staples is in charge of door prizes.

A suggestion was made to check with 1st Place Sports to place flyers for the Turtle Trot in Tour de Pain packets.

New Business

Members discussed possible locations for monthly meeting. Ed Hardee will check with O’Kane’s and the Green Turtle. Rosa Haslip with check with Sliders.

Treasurer’s Report – John McBrearty reported the current balance remains at $5,920.00.

Old Business

Pirates Revenge Trail Run – Members discussed changing the trail run to sometime in March.

Summer Youth Running Camp – John reported he would submit an article to the News Leader. Bill Beaumont has an outline/lesson plan for each day.

Turtle Trot – Bill and Emilie Pennington are working on Flyers. Carolyn Peeples is coordinating the kid’s one-mile and half mile runs. Fantastic Fudge will donate turtles to kids only. Emilie Pennington is designing shirts for the Turtle Trot.

John reported the application has been submitted for a permit for the same route as last year.

New Business

Ed Hardee suggested hosting a race in conjunction with Yulee Railroad Days.

John reported a Financial Report has been submitted to renew our permit to solicit funds with the state Department of Consumer Affairs.

Members discussed alternate nights, times and locations for club meetings to attract better attendance. An email will be sent to members asking for input.

Membership Drive Results
Bill and Ed sent out 100 flyers to the list of locals who participated in the Gate River Run but are not AIR members. Emily Pennington manned a membership booth at the Shrimp Festival Race.
Both marketing events resulted in over 10 new memberships!
We now have a total of 107 memberships!!!!
John is re-ordering AIR club tee shirts. Also getting prices on other items i.e. different fabric/not cotton, hats and long sleeves

NEW BUSINESS:

Pirates Revenge Trail Run: Members present discussed scheduling the 13K combination; beach, trail and road run in October this year. First step: pick dates and measure course.

Update on the High School Youth Program. John contacted all coaches. As a result AIR will sponsor a Summer Youth Running (Cross Country) Camp. Members present selected the second week of July for the camp. Camp hours: 9am to 11am Monday through Friday Mike Leary and Bill Beaumont will correspond on a training curriculum. John will investigate holding the camp at the Atlantic Rec. Center. Curriculum would include topics such as: Nutrition/Stretching/Clothes/Shoes/Form/Cadence Purpose is to build enthusiasm and educate youth on the wonderful world of running.

Mike Leary suggested that the AIR monthly meetings start including guest speakers to encourage more people to attend. He also suggested we have social outings.

Jill Staples will investigate holding June’s meeting at Sliders or Sandy Bottoms-Stay tuned!

OLD BUSINESS:
John McBrearty purchased the bullhorn for use at races, and it is of high quality.

Ed Hardee announced that AIR now has access to the FBHS track. Thank you to all involved!

Jill Staples reported that the $300.00 donation was made by AIR to Katie Caples Foundation. (The Katie Ride was Saturday. AIR Cycle Team did a great job fundraising. We are the second highest fundraiser on the roster.) It is great publicity for the club to be associated with this event.

Bill and Ed sent out 100 flyers to the list of locals who participated in the Gate River Run but are not AIR members. Membership opportunities!

NEW BUSINESS:

Joe Fanelli brought up the fact that not many members are coming to the meetings and we discussed ways to increase monthly meeting attendance:
§ Fun Runs pre meetings
§ Combine men’s and women’s training runs – separate times too confusing
§ Hold meeting at Sandy Bottoms or Sliders and have the club buy appetizers or something
§ Have giveaways at meetings from our sponsors

Discussion on Ways to Increase Membership Followed:
§ The McArthur Family YMCA is letting us put membership applications in the race packets for the upcoming Shrimp Festival run; also an AIR registration table will be at the race.
§ Jill and Joe discussed holding an informational meeting at North Hampton to recruit new members from that community
§ Hold a similar informational meeting at Amelia Island Plantation
§ Have a monthly meeting where everyone brings a potential new member
§ Creative membership applications were distributed by Ed with a letter from the Prez.

OLD BUSINESS:

John McBrearty recapped the Pirates on the Run race: Ø 150 Runners and 20 walkers; Ø Recommendation that next year a 5K be added; Ø John has received several emails of congratulations from participants; o “Good Run”; o “Well Organized and well run.” Thank you to EVERYONE who helped make this event a success!

New Webmaster: Susan Stanley will be taking over AIR website. Thank you Susan

John and Ed Hardee have been using the AIR new time machine at local school track events. It is working well.

John is still researching a Bull Horn to purchase for the club.

NEW BUSINESS:

Ed Hardee recommended a couple of AIR members ask FBHS officials for access to the running track for AIR club training. Ed will report back results.

John announced that Carolyn Peeples has volunteered to organize and handle all the children’s run events in the future. Thank you Carolyn

Jill Staples asked if AIR would monetarily support the AIR Cycle team that is being organized for the Katie Ride for Life. So far there are 11 team members who are each responsible for raising $100.00 for entry. The team last year had jerseys made with AIR Cycle Team imprinted. The cost was fully sponsored by another company.
Joe Fanelli recommended a donation amount be determined and then how the AIR cycle team should spend the money. After discussions took place.
Motion made by Caroline Fanelli to donate $300.00 to the Katie Ride for Life team. Motion seconded by Bill Pennington. Motion passed unanimously.

Mike Brodie suggested that the topic of; How to handle donation requests?, be added to a future AIR meeting agenda.

Bill and Ed are working on getting the list of 100 locals who participated in the Gate River Run but are not AIR members. Membership opportunities!

John will enter all the AIR training runs in the local newspapers.

Election of Officers

PRESIDENT: John McBrearty accepted the nomination and was elected unanimously.

VICE PRESIDENTS Ed Hardee, Joe Fanelli and Bill Pennington were all elected as Vice Presidents. Unanimous Individual responsibilities will be divided up among the three. John Mc Brearty will email his “Race Organization To-Do” list to the VP’s to assist in identifying tasks.
