Attendance: Bill Beaumont, Ed Hardee, Gary and Rosa Haslip, John and Emylee McBrearty, Marilyn Roberts, David Vigh President Ed Hardee called the meeting to order at 7:40 p.m. OLD BUSINESS Turtle Trot – John McBrearty reported he and Bill Beaumont measured the race course for USATF certification. Flyers for the Turtle Trot are available at Club 14 Fitness, Red Otter and Pak’s Karate. A link to our Turtle Trot information is on the 1st Place Sports website, and traffic to our website increased as soon as 1st Place Sports linked to us. People can register online at Active.com, and the link is on our site. If people have their own chips they can use them, and also can register online – but if you want to use your own chip you must register in advance. Also, if you register online, you don’t get the AIR early-registration discount. There was discussion regarding inserting Turtle Trot information in the Tour de Pain packets from 1st Place Sports. All members present approved. Rosa discussed sponsor logos for the race t-shirts. There was discussion on providing chocolate “turtles” for the children’s fun run. Emylee McBrearty stated that passing out the turtles is a difficult, slow process and we should consider another alternative, if not this year then next year. Another option would be giving them as door prizes or to overall and/or age-group winners. Jim Hill, the race director, will make the decision. Ed asked that if anyone knows of potential race sponsors, to please ask them or tell Jim Hill, John McBrearty or Ed. The Unity Day 5K will be August 2. Race begins at Central Park. Ed stated there was a nice turnout of AIR members at the St. Mary’s July 4th race. Ed reported there also was a nice turnout at our get-together for the Fanellis at the Roberts’ home. NEW BUSINESS Ed reported that Communities In Schools will be holding 5K and 2K runs at Peter’s Point on September 20. John and Ed attended a planning meeting and offered advice on setting up a run. Ed reported that Deborah Dunham will be the director for the Pirates on the Run again next year. The Episcopal Fellowship Hall is a possible site for registration, and possibly a breakfast following the race. Rosa, Gary and Bill Pennington will again be directors for the Reindeer Run. Rosa asked for suggestions for future social get-togethers. Members discussed a run at North Hampton. Kathy Duprey lives on the golf course and has offered her home for a social. OLD BUSINESS The Summer Running Camp was a great success again this year with approximately 30 participants, which included five adults, from the local area and out-of-town. Bill Beaumont was commended for an excellent job. Rob Whiting and Mark Durr presented running information to the participants. Turtle Trot – John McBrearty reported the agreement with Fort Clinch and the city permit are complete. The race will start on Atlantic Avenue and finish on Jean Lafitte. Ed stated the club received a thank-you letter from Jack Tomassetti thanking the Club for awarding him the $500 scholarship. NEW BUSINESS Ed reported that Joe and Caroline Fanelli would be in town on Saturday and wanted to get together for dinner. Marilyn Roberts offered her home for a cookout. The Robertses will provide hamburgers and potato salad and whatever others want to bring plus BYOB. The cookout will be at 6:00 p.m. Ed will confirm with the Fanellis and send out an email to members to RSVP. Members discussed other social options. Perhaps getting together every other month. Colleen offered the use of their Club House for future activities. Ed received a request from Communities in Schools Nassau County which is for at-risk students. They want advice on a 5K and 2K race at Peter’s Point on September 20 at 5:30 p.m. John McBrearty suggested looking online at Space Coast Runners’ site regarding information packets. Information packets could be given to parties who request help or guidance for races. Ed received an email regarding a walk for Huntington’s Disease 5K in Jacksonville on September 20. He also distributed other upcoming race information. Ed stated that according to a recent newspaper article, downtown merchants would like more events downtown and ways to draw tourists. Members discussed blocking off streets downtown for a 5K race possibly a loop course. This would promote advertising for downtown and bring more tourists to the area. The Leukemia Lymphoma Society in Jacksonville asked about making a presentation at one of AIR’s meetings. Members discussed possibilities and decided the group could receive the best exposure by setting up a booth and giving out information at one of our races.

President Ed Hardee called the meeting to order at 7:40 p.m. Treasurer’s report – Bruce Dunham reported $1,000 went towards the scholarship recipients and the current balance is $7,911.00. Ed Hardee welcomed Rob Whiting who was visiting from Vanderbilt. OLD BUSINESS: Ed stated he presented the Scholarship Awards at Fernandina Beach High School’s senior awards ceremony. Scholarship award recipients were Jack Tomassetti, Haley Tan and Kevin McEntee. Ed suggested forming a scholarship committee for next year. Other suggestions included simplifying the scholarship application, ways to get other schools interested, present a plaque or certificate to scholarship recipients and nominees. Running Camp Update – Volunteers are needed for group runs. Participants will be divided into separate groups according to pace. John stated Amelia Island Runners scored the Shrimp Festival 5K for the YMCA. Thanks to the AIR volunteers who helped. The club will be paid $350 by the YMCA for scoring services, the same that had been charged by John TenBroeck. NEW BUSINESS Race timing systems were discussed. The race committee for the Turtle Trot met and determined it is time to start using Champion Chips. AIR has asked 1st Place Sports to time our next three races. The cost will be $750 base plus $2 per chip for each race. The finish line will be changed for the Turtle Trot. We are proposing that the race end on Jean Lafette, or in the Atlantic Recreation Center parking lot. The finish line needs to be 30 feet wide for the 5K and 10K to use the timing chips. A plan for the race will need to be submitted 60 days in advance to the City for a fee of approximately $75. Members discussed using an inflatable Moonwalk or jumpers for the children at the Turtle Trot. Question of liability was discussed. Members present agreed to change the Reindeer Run date, December 6 to December 13 since the Jacksonville Marathon was moved to December 21. December 13 would be a better date with fewer conflicts with other running events in the area. Members concluded the best date for the Pirates on the Run is February 21, 2009. John McBrearty scored the Ed Gaw Open Water Challenge on Saturday, May 24. The club will receive payment from the city for that service. He stated that he has been receiving membership dues and paid for Club t-shirts. OLD BUSINESS Scholarship applications – The applicants were determined to be excellent candidates. Bill Pennington made a motion to grant three scholarships this year--first place, $500; second place, $300; and third place, $200. Motion was seconded and unanimously passed. Ed will scan applications and email them to members present for perusal. Members were asked to submit their selection to Ed by April 21. Ed reported the Bausch & Lomb fun run was a success, and raised close to $1,000 for Girls on the Run. Rosa sold $200 in club merchandise and gained three new memberships. Shrimp Festival 5K – Amelia Island Runners will do timing for the race. As of today, 65 people have registered on Active.com. Katie Ride for Life – John McBrearty’s family, Tifini Bair, Bob and Jonathan Tomassetti and Jill Staples will represent AIR. A motion was made to donate $500 to the Katie Ride; motion was seconded and passed by members present. Turtle Trot – Jim Hill, race director for the Turtle Trot, reported the flyer is being updated. Sandra Baker-Hinton will provide artwork for the race t-shirt and awards. NEW BUSINESS Summer Running Camp - Bill Beaumont will be the instructor for the summer running camp. The running camp will be open this year to everybody, any age. The running camp will be the week of June 9-13 from 9 am to 11 am. Bill requested additional help for one day. Ed will reserve space at the Atlantic Ave. Recreation Center. Ed announced that Bart Yasso has a new book coming out. Joe Gerrity can get a group order for club members who would like to order the book. Ed will email information regarding the book. Members present agreed to have a representative vote by proxy at the RRCA convention. ELECTION OF OFFICERS
The election of officers was opened with the nomination of Ed Hardee to continue as president. The motion was seconded and approved by all present. President Ed Hardee called the meeting to order at 7:50 p.m. OLD BUSINESS Gate River Run – AIR’s hospitality area was a success, thanks to lots of work by AIR volunteers and valuable assistance from the Florida Striders. The only problem we're aware of was unauthorized people pushing down the plastic fencing around our site and getting in line for the port-o-let before race time. Next year we'll need to come up with ways to discourage that -- perhaps signs and stronger fencing. Ed Hardee announced the Bausch & Lomb Championships 3-mile fun run would be Saturday, April 5 at 7 a.m. at the Plantation. AIR will help with the race-day registration and setting up the course, and will provide a clock and finish line assistance. Proceeds will benefit Girls on the Run, which is handling preregistration. Ed announced the AIR Katie Ride for Life team would include Tifini Bair, Jill Staples, John McBrearty and Rich Davis. No scholarship applications have been received to date. NEW BUSINESS Ed stated he received a request from the Nassau County Gator Club asking Amelia Island Runners to help plan and coordinate a race sometime around the Florida/Georgia game. AIR provides assistance to the Dignity U Wear 5K around that time each year. Ed will suggest that they consider group participation in the Dignity U Wear if it suits their plans and schedule. This year the Dignity U Wear proceeds will benefit Joy to the Children. AIR will handle the race timing for the YMCA's Shrimp Festival 5K on May 3. David Williamson has agreed to help Ed with the computer timing, and John McBrearty will head up the finish-line scoring crew. Dates for fall races: Turtle Trot – August 30, 2008; Reindeer Run – December 6, 2008. Ed said he would like to see Amelia Island Runners contract with 1st Place Sports to use Champion Chip timing in a race, to see what the response from runners would be. Treasurer’s Report - Bruce Dunham reported the Club’s current balance is $10,508, less payment due for charities.
OLD BUSINESS
Pirates Run – The Pirates run was a great success with more than 300 finishers in the 5K/10K. Positive comments were noted regarding the balloon arch, aerobics and National Anthem.
A portion of the proceeds from the Pirates Run will go towards the following charities:
Girls on the Run - $1,000; Annual Scholarship Fund - $500; and the Katie Ride for
Life - $500.
Ed received a letter requesting an age group split for ages 13 and under since the demographics for that age group are growing each year. Members discussed and approved to change age groups to 11 to 14 and 10 and under.
NEW BUSINESS
Ed Hardee said the YMCA has asked for the Club’s assistance in timing the Shrimp Festival 5K.
Members discussed goals for the Club’s upcoming races. Changing the course to reduce the number of intersections and turns for the Pirates Run, possibly using timing chips, and how big do we want the races to become. One suggestion is to check with the Episcopal Church to use their civic hall for the Pirates Run next year. Jim Hill suggested changing the route to the cemetery and Old Town.
Jim Hill volunteered to be race director for the Turtle Trot on Labor Day weekend. John McBrearty will get permits for the race. Members discussed earlier starting times for the Turtle Trot because of the heat. Possible times included 7:30 am or 8:00 am.
The Club has been contacted about a 5K fun run to be held the weekend before the Bausch & Lomb tennis tournament at the Plantation. Prizes would be presented to the first male and female overall only. Organizers are working on getting permission for a race course through the Plantation.
Rosa said she is considering a different supplier for the Club’s t-shirts.
Ed reported that AIR is still looking for someone to captain a team for the Katie Ride. It was suggested to set up something through Active.com where people can donate. Any club members or friends who are bicyclists are urged to represent AIR in the ride.
Ed reported that he and John McBrearty met with FBHS Athletic Director Ken Roland about rubberizing the track at FBHS. Grant money is available from Nike. The grant must be submitted in the name of a local nonprofit organization, and AIR has agreed to be that organization.
After much favorable response last year, Amelia Island Runners again will have a hospitality area at the Gate River Run. Rosa asked everyone to bring food and drinks to share, and lounge chairs. AIR will have a table set up with Club merchandise for sale. A port-o-let will be added to the hospitality area this year. The hospitality area will be for members and guests.

Treasurer’s Report – Ed Hardee distributed copies of the Reindeer Run budget and the 2007 budget. Current balance is $7,547.67.
OLD BUSINESS
Reindeer Run - AIR members present agreed to donate $1,500 to Healthy Families Healthy Start and $500 to Friends of Fort Clinch.
PIRATES RUN -
Ed distributed race applications. John reported he had received 80 entries to date.
Sponsors for the Pirates on the Run include Applied Paper Technology, Advance Rehabilitation, First National Bank of Nassau County, Yacht Clubs of the Americas, Applebee’s, Café Karibo, Harbor Lights, Red Otter Outfitters, Hampton Inn and Suites, Taylor Edwards and Publix.
Members present discussed ways to recognize club sponsors. Possibilities included signs at race mile markers or banners with sponsor name (or logo) at water stops.
Bill Beaumont suggested having a Pirate run with the kids during the kid’s run. John McBrearty suggested adding a best costume award.
NEW BUSINESS
Rosa Haslip reported she received a call from Amanda Whitman from the Nassau County Health Department wanting to know if AIR would be interested in partnering a race (Step Up Florida) in Callahan, possibly beginning at the fairgrounds. Rosa stated that they have possible sponsors and volunteers to coordinate the event. A possible date for the race would be April 26. Members present discussed Amelia Island Runners’ responsibilities would include technical support such as measuring the course and timing the race. The Health Dept. would be responsible for registration, race application, bib #, pull-tabs for scoring, setting up water stops, and awards, etc. Rosa stated she has a checklist for putting on races she got from Deborah Dunham. Members related that partnering the race would provide an opportunity to promote running on the west side. Rosa will call Amanda with information for the race.
Ed Hardee announced that Rosa is AIR’s Merchandise Coordinator.
Ed announced Amelia Island Runners would participate in the Martin Luther King Day parade on Monday, January 21.
Ed suggested sending Bill Pennington to the RRCA convention to be held April 30-May 4, in Cincinnati, OH, to represent Amelia Island Runners. Bill is being considered for a national award as Club Writer of the Year. "Runner’s Hi” is also being considered for the best newsletter. Both
received Southern Region awards from the RRCA for 2007. The convention fee is $250.00. John McBrearty moved that AIR pay the $250.00 entry fee for Bill to attend the convention. The motion was seconded and approved.
Packet stuffing for the Pirates Run will be Thursday, January 31, 5:30 p.m. at the Fernandina Beach Airport. Pizza will be provided.
