December 16, 2009

Minutes
Club President Ed Hardee called the meeting to order at 7:40 p.m.

Treasurer’s Report:
Bruce Dunham reported a current balance of $15,838.00, although major expenses from the Reindeer Run have not yet been paid.

Old business:
A record was set this year with a total of 500 registrants for the Reindeer Run. There were 420 finishers in the race. A new age group category of 70-74 will be added for the Pirates Run, and the oldest category will become 75 and up.

Coach Benson announced the FBHS cross country team awards banquet has been rescheduled and will be on January 11, 2010 at 4:30 p.m. at the Recreation Center. AIR will pay for the food, which will include pizza, salad and tea. Awards to be presented will include most valuable and most improved runners.

2010 Scholarship Program – Deborah Dunham will chair the scholarship committee this year. Ed commented judges are needed to help Deborah with selection. John McBrearty and Coach Benson both volunteered to help. Ed stated that when the application form is ready it will be posted on the AIR website.

New business
Gate River Run – John reported that Stan Scarlett of the Florida Striders has encouraged AIR to share the hospitality area with the Striders again this year. AIR will provide sodas, chips, toilet paper and pay for two port-a-lets. Wrist bands will be used to gain entry into the hospitality area and volunteers are needed to check and issue wrist bands.

Pirates on the Run – The Pirates Run is on February 6, 2010 at 8:30 a.m. A pancake breakfast will be available to all registered runners and walkers. There will be a $5.00 charge to others.
The course will be almost the same as last year, but will finish on the road instead of off-road at Central Park. Ed said he met with the manager of the Farmers Market to discuss coordinating traffic flow away from the market. Pete Scalia will help coordinate traffic. The police auxiliary and Pirates’ Club have been contacted.
Members discussed adding a walkers division which would include the use of Champion Chips. Bill Pennington made a motion not to include a walking division. The consensus was not to include a walking division.
Rosa suggested having first aid at the finish line. Members discussed asking a medical care or rehab provider to be available at the finish line.

Treasurer’s Report
Bruce Dunham reported a current balance of $8,438.80 plus the $5,000 CD.

New Business:
Reindeer Run – Approximately 4,000 fliers were inserted in the Outback half-marathon packets. Ed stated that 42 people have registered for the race. We currently have nine sponsors. Elizabeth Pointe Lodge will donate breakfast coupons. Ed stated we still needed volunteers. Jim Hill and Bill Beaumont will lay out the course. Bill Pennington will give out awards. Members discussed using a PA system for the National Anthem. Ed talked to Big-O Events Productions about use of a solar PA system.
Ed reported that next year a race will be held in Jacksonville at the same time as our Labor Day Weekend race.

Old Business:
AIR will pay for the dinner for the FBHS cross country team banquet. The awards banquet will be on November 30 at 6:30 p.m. in the FBHS cafeteria. The FBHS boys’ team and Stephanie Strasser made it to the state cross country finals.

Deborah Dunham has volunteered to chair the Scholarship committee.

Rosa Haslip will be the race director for the Pirates on the Run in February.

AIR received a thank you note from Alma Bailey for the money to purchase awards for the youth runners and for supporting Callahan Elementary. AIR also received a thank-you letter from Robin Lentz for supporting Yulee on the Move.

Ed received a letter from Kathleen Rogers with the Nassau County Sheriff's Office requesting help with timing a "Cops for Kids" charity 5K race on February 13. Discussion followed. Members noted that the date is very close to AIR's Pirates run which would make it impossible for the club to provide much assistance. Ed will suggest a fun run.

Amelia Island Runners Club Monthly Meeting Minutes
October 21, 2009

Club President Ed Hardee called the meeting to order at 7:30 p.m.

Treasurer’s Report: Treasurer Bruce Dunham was unable to attend the meeting. Ed reported the balance remained approximately the same as last month’s.

The AIR weekly group run survey was discussed. Ed distributed a copy of the results. Members present decided to continue midweek runs at 6:00 p.m. at the FBHS track, if attendance warrants. Most runs will be on Wednesday nights, when the track is most often available. The club will pay for the use of two banks of lights at the track, which will be $75.00 per night. Ed will check on insurance requirements for non-club members. The track will not be available on Nov. 11 so Ed will pursue the availability of the Yulee High track.

Dinner for the FBHS cross country team awards banquet was discussed. The awards banquet will be held at the high school cafeteria. Pizza and drinks will be provided. The cost of pizza for the students was discussed.

Ed reported the Nassau County cross country track meet will be on October 29, 4:30 p.m. at the greenway.

Ed received a request from Alma Bailey at Callahan Elementary School to support the school’s after school running program by providing an AIR member to talk to the kids, and paying for 650 24-inch silver chains. The cost of the chains will be $266.95. Bill Barnes has volunteered to speak to the kids. Rosa made a motion that AIR support the Callahan after school program by paying for the chains. Gary seconded the motion. The motion carried.

Reindeer Run T-shirt artwork was discussed. The cost for the kids’ t-shirts will be $5.00. John reported he has the agreement with Fort Clinch for the run. Amelia Island Runners has paid the city to make shower facilities available free to runners after the race, which should provide an incentive for visiting runners to stay in town after the race. The grand door prize will be a 4-day, 3-night stay at the Amelia Island Plantation.

AIR received a thank-you note from Nassau County School Superintendent John Ruis for AIR’s support for the schools.

Club President Ed Hardee called the meeting to order at 7:30 p.m.

Treasurer’s Report: Bruce Dunham reported a balance of $12,000 plus the $5,000 CD. He is waiting for a statement from 1st Place Sports, and contributions also will be made to the Amelia Island Sea Turtle Watch and Friends of Fort Clinch. He paid $2,700 for the t-shirts.

Old Business

The Turtle Trot was a big success this year with an increase of participants. We had 502 registrants, 29 walkers and 80 children. We had 434 recorded finishers in the 5K and 10K races.

Everyone enjoyed the Yulee Middle School Symphonic Band. Members discussed having them play the National Anthem at the Reindeer Run. Coach Benson made a motion to increase the amount of money paid to the band from $100 to $200. Bruce seconded the motion. The motion was unanimously approved.

Coach Benson reported on plans to start a running program for people who want to complete a 5K race. He suggested making the goal race be the 5K at the 2010 Gate River Run. The program would begin after the holidays, January 9, 2010. A $50.00 fee would include AIR membership, a t-shirt, weekly runs and structured training. Coach Benson will need helpers. Members discussed putting the information in the AIR Newsletter and email, and make up flyers and distribute them to places like the YMCA, Club 14 Fitness and Elite Gym.

New Business

Coach Benson reported he has been working with Mark Durr, the cross country coach at Fernandina Beach High School. Coach Benson suggested having an awards banquet for the team when the season is over in late November or early December. Discussion followed.

Ed asked for suggestions to increase participation at the Wednesday night runs. Bill Barnes suggested changing the run to Sunday at 4:00 p.m. Ed will send out an email asking for input.

Ed announced an Indoor Masters Walk Class by Leslie Sansone on September 25 from 6:00 to 7:00 p.m.at the Amelia Island Plantation Egret Room.

John McBrearty and Ed Hardee are the race directors for the Reindeer Run.

Club President Ed Hardee called the meeting to order at 7:45 p.m.

Treasurer’s Report

Bruce Dunham reported he had received $700.00 from sponsors, $65.00 for memberships and $1,000.00 in race entries. The total account balance is $6,933.00 and $5,000 in a CD.

Old Business

Turtle Trot: The race’s entry form has been included in the Jacksonville Running Guide and will also be inserted in the Summer Beach Run packets. Ed Hardee reported that the total costs of advertising the race, including printing extra fliers, has not yet been determined but will be higher than last year.

Ed reported there are 75 entries for the Turtle Trot to date-- 43 in the 5K and 32 in the 10K. We have 11 sponsors with another couple possible, which is a very good response.

Jim Hill stated he has people helping with registration, and the Methodist Church will have a water table.

Members discussed a request from a local company to hold a bake sale during the Turtle Trot on behalf of a nonprofit group. Ed noted that one of the benefits of being a race sponsor is the option to have a booth or table at the race, and proposed that for-profit companies need to buy a race sponsorship. Members present agreed that businesses that want to have fundraisers during AIR races must be a race sponsor.

Ed received a question asking if a race sponsor can receive race entry discounts for the sponsor’s clients. Discussion followed with the consensus of everyone present not to do so.

Opting out of receiving a race t-shirt in return for a discounted race entry was brought up from last month’s meeting. Ed stated that it would complicate the t-shirt ordering process. Robin Lentz suggested using a field on the spreadsheet, such as an asterisk, to identify those opting out the t-shirt. Members discussed offering hats or socks instead of t-shirts.

New Business

Ed announced volunteers are being sought to help with the Atlantic Coast Triathlon at Amelia Island, with help needed October 2 and 3.

Members discussed running programs in the elementary and middle schools. Ed suggested giving $500 to each school that applies for a grant. There would be specific paperwork to be completed by the school and a volunteer from the school to run the program. The kids would be given tokens and t-shirts as part of the program.

Ed and Ned Tyson will attend a meeting next week on wellness initiatives in schools to inquire about the possibility of getting federal grant money to start elementary school running programs.

Robin presented information about the program she started at Yulee Middle School. Yulee on the Move is for kids ages 17 and under. They meet on Tuesday and Thursday afternoons. The program includes mostly running and has a guest speaker once a month. This year Robin has requested support from AIR by reducing the race registration fee to $8.00 or $10.00 for each student. Last year there was an increase in participation in the Reindeer Run and Pirates on the Run because of reduced entry fee.

In Robin’s program, the kids track their miles and receive toe tokens for every five miles run. Toe tokens cost $60 for 1,000; the shoe token costs $85.00 for 1,000. At the end of the school year they have a big ceremony and give out medals with name plate and mileage. Miles completed throughout the year are 26.6, 40 and 60. Robin asked for support from AIR to purchase the medals and toe tokens.

Robin stated that some of the kids cannot afford tech shirts or running shoes. Marilyn Roberts suggested individual AIR members could “adopt” or support a child by purchasing shoes or other running attire. Robin will have a list available of kids who need help.

Members agreed unanimously to support Yulee on the Move by purchasing medals and toe tokens in the amount of approximately $200.00 and providing an $8 race entry fee. Other Nassau county schools would be eligible for support by completing the required paperwork and have a program running for at least a year. Discussion followed regarding putting information on the AIR website.

Ed stated he received a funding request from Stephanie Strasser at Fernandina Beach High School for uniforms for the girls’ cross country team. Members agreed to support the girls’ and boys’ cross country teams at each of the county’s four high schools by giving $100 for the girls’ team and $100 for the boys’ team—a total of $200 for each school. Schools are eligible for AIR support by submitting a request or attending an AIR meeting and asking for support.

Members discussed the cost of renting a sound system for the Turtle Trot to use for the National Anthem and playing music for aerobics before the run. Robin suggested using one from her school. Ed said the RRCA has advised member clubs that music licensing companies are cracking down on the use of music at races unless royalty fees are paid. Robin suggested that the Yulee Middle School band could perform. Ed said he would contact the band director.

Club President Ed Hardee called the meeting to order at 7:35 p.m.

Treasurer’s Report

Bruce Dunham reported a balance of $4,000 in the checking account and $5,000 in a CD.

Old Business

Turtle Trot: Ed reported the club will pay the city a fee of $50.00 for Turtle Trot runners to use showers at the Recreation Center following the race. Runners/walkers will get an all-day free pass into Fort Clinch by showing their bib number from the race.

The Turtle Trot information and registration form is in the Jacksonville Running Guide. Members discussed checking with 1st Place Sports about inserting the Turtle Trot flyer in the Tour de Pain or Summer Beach Run packets.

New Business

Ed announced that John McBrearty has accepted a position as Nassau County coordinator for Special Olympics.

Ed circulated thank-you notes from Shelby Kittrell and Jenny Bridwell for AIR scholarships. He also shared a thank-you note from the Borgman family for summer camp.

Ed will meet with Ned Tyson to discuss seeking grant money for elementary school running programs.

John McBrearty and Ed Hardee met with the Chamber of Commerce to discuss a proposed half marathon next spring, late March or early April. The Chamber would present the race with AIR management assistance.

Ed distributed flyers for the Shrimp & Grits Challenge at Jekyll Island on September 19-20. This is a 4-mile beach run, 5K cross country, and a 1 mile point to point challenge.

Members discussed distribution of the newsletter via email or printed copy. Members will be given the option to download an electronic version of the newsletter and “opt out” of receiving the printed newsletter. The option will be added to the membership form and to renewals.

Club President Ed Hardee called the meeting to order at 7:35 p.m.

Treasurer’s Report

Bruce Dunham reported a balance of $6,000 after expenses were paid.

Old Business

Turtle Trot - The 2009 Turtle Trot registration form was distributed for perusal. Ed will check with the Recreation Center about runners being able to use the showers after the race, which could encourage out-of-town runners to do the race and then stay on the island for the rest of the day. We still need sponsors for the Turtle Trot; sponsorship is $200, which includes a logo on our website and the race T-shirts.

Summer Camp – About 15 people attended the summer running camp. Bill Beaumont was camp leader. We had two special guests this year: Jerry Lawson is a onetime holder of the U.S. marathon record. He represents 1st Place Sports and gave foot evaluations to all the runners, and talked about running and running shoes, and also about his racing career. Stephanie Strasser, FBHS’s first state champion in running, also spent a day with the runners, talking with them, running with them and leading stretching exercises. We also videotaped the runners for the first time so they could evaluate their running form. We've received lots of positive feedback about the camp. Special thanks as always to Bill Beaumont for making it possible.

Elementary School Running Program - Ed talked to Alma Bailey about her Elementary Running Program in Callahan. Ed will meet with Ned Tyson and get more information for the next meeting as the Club pursues ways to encourage running and walking among elementary school students.

New Business

Winter Outreach Program - Coach Roy Benson made an offer to begin an outreach program to train and prepare people to finish a 5K. Coach Benson suggested a winter outreach program which includes a registration packet with registration fee. The program would be offered January through March and include individual structure, training runs, and tips on how to train. This program would include an automatic membership to the Club. Coach Benson suggested we tie in a get-together similar to the Club anniversary party and have an awards ceremony for those who complete the 5K, and also for members of the FBHS and Yulee cross country teams. Ed Hardee and Bill Pennington will be on the committee with Coach Benson, and others interested are invited. Tentatively, advertising will begin in November or December and training will begin the first of the year.

Yulee Cross Country - Ed stated he received an email from Coach Chad Brosius at Yulee High School asking for support for the Yulee cross country team, possibly including help with a fund-raising 5K race. Bill Barnes suggested giving money and let them use it in the areas needed. Members discussed offering a $25.00 membership fee in the coach’s name for the entire team which would include discounted race fees and one Club newsletter to the coach to share with students.

Newsletter - Members present discussed offering the option to receive the newsletter by mail or email. Ed will proceed by putting the newsletter on the Club website with the option to have one mailed if requested.

Clock Use - Amelia Island Plantation has asked to use the AIR clock and finish line equipment for their July 4th 5K. Members agreed to let them use equipment at no charge.

Bruce Dunham reported a current balance of $7,800.00.

Old Business

Summer Running Camp is June 15-19 from 9 a.m. to 11 a.m. Monday through Friday at the Fernandina Beach High School, Building 6. Runners will use the bus loop or greenway. First Place Sports will provide a foot analysis system and will talk about different running shoes. AIR members agreed to offer free AIR cotton t-shirts to camp runners. Bill Beaumont will lead the camp. We will use the club’s Flip camera to videotape runners so they can see their running form.

John McBrearty presented AIR Scholarships at the FBHS Awards Ceremony. Shelby Kittrell received $1,000; Jennifer Birdwell, Cody Larson, Jessica Schwec and Taylor White, $500 each.

New Business

Turtle Trot – Jim Hill is the race director again this year. It was the consensus of the AIR members present to change the start time to 7:30 a.m., 30 minutes earlier than last year. Rose Bennett stated that last year there was no water available towards the end of the 10K. Jim stated that this year AIR will make sure water is available at all water stations until all runners are finished. Jim will check with Peterbrooke Chocolatier to get coupons for the kids’ fun run. Sponsors are needed for the Turtle Trot.

Jim Hill and Bill Barnes have written suggestions for AIR goals. Ed reminded everyone to think about best uses for the Club’s money, as well as goals and directions for the Club.

Ed suggested implementing a program developed by the Florida Striders, to support in-school run/walk clubs for grades 1-6. The Striders are supporting one such program at Callahan Elementary, but Ed said it would make sense for AIR to support it and other Nassau County clubs. To get a program started, AIR would need to get a teacher at each school to get kids to devote time to running or walking. Parents would track how many miles students accumulate. Once students achieve marker miles, such as 26 miles, the student would receive some type of token. The Club could possibly donate $500 as start-up money. Ned Tyson is on the Nassau Health Improvement Advisory and will check on possible grants available. Ned will work with Ed on developing a walk/run program for kids.

Ed also discussed the Striders’ policy for fun runs at their races. The Striders do not charge the kids a registration fee, and sign them up the day of the race (parents must sign a release form). All kids receive a ribbon for finishing the fun run. At some of the fun runs, the Striders provide incentive money for schools’ participation. One half of the money is given based on schools with the highest number of participants. The other half goes to the schools with the highest percentage of students participating. Bib tear-off tabs with the name of the child’s school are collected as the children finish. Registration forms could be given to PE teachers at schools. Possible contact people are Robin Lentz and Melissa Marker to get more suggestions. The consensus of the group was to begin a no-charge, no-t-shirt policy for our fun runs with the Turtle Trot.

Ed mentioned an article in the Wall Street Journal regarding the cost of race t-shirts. At some races, participants have the option to forgo the t-shirt for a discounted registration fee. Members discussed offering a $5.00 discount for opting out the t-shirt. One problem is that this would complicate registration and make it more difficult to estimate advance t-shirt orders. Rose suggested a no t-shirt race with a $5.00 charge to raise money for scholarships.

Ed reminded everyone that June 3 is National Running Day. The Striders’ 5K Prediction Run is on May 31. The Memorial Day 5K in Green Cove Springs is on May 25.

Old Business

AIR Anniversary Party – Forty four people have responded to date. Some of the FBHS Cross-Country team will attend the party. Awards will be presented to members of the cross-country team by Coach Mark Durr.

Jim Hill will bring two grills. Matt Altman will provide the music. Rosa stated that she will use race numbers for drawing door prizes. Burgers, hot dogs, water and sodas will be provided. The party will be at the Kraft Athletic Club outside under the Pavilion.

Ed reported he talked to Kathy Russell at Parks and Recreation and she urged that next year we use golf carts on the Greenway to put out equipment for the Pirates Run. She will make the city’s golf carts available to us.

Scholarships - Deborah Dunham, scholarship committee chairman, stated she received seven applications, several of which are very strong. Deborah proposed AIR give five scholarships, one for $1,000 and four for $500. Jim Hill reminded everyone we need to look at the direction of the Club and consider future goals. One goal should be supporting kids in running.

Coach Benson asked about the criteria used in selecting scholarship applicants. (Those include a written essay, running and non-running activities, and personal references.) He stated that if a recipient of a scholarship is attending a college or university on a running scholarship, they may not be eligible to accept a scholarship from an outside organization. He stated a student can accept the money but needs to notify the college/university. Some school programs have an allotted amount of money and they can’t go over budget. Students receiving AIR scholarships need to know the stipulations and notify their school. Deborah will notify the recipients.

Jim Hill made a motion to accept Deborah’s proposal of giving one $1,000 and four $500 scholarships. John McBrearty seconded the motion. All present approved the motion. The scholarship awards will be given at the FBHS Awards Ceremony. AIR will give a framed certificate to each recipient.

John McBrearty suggested setting up something on AIR’s website for members to donate to the scholarship fund.

Members discussed forming a nominating committee for next year. It was suggested limiting officers’ terms to two years. Deborah suggested each member volunteer at least once a year for Club races and other events.

Ed announced the Katie Ride/Walk is coming up on April 18. John McBrearty and Ned Tyson will manage the walk.

Treasurer’s Report

Bruce Dunham reported a current balance of $11,628.

Old Business

Pirates on the Run - It was another record year for the Pirates Run. Marilyn Roberts reported feedback she received regarding the finish line. Changes to the finish line should be considered for next year. The Greenway was considered a safer course for the runners than the former downtown route. The breakfast following the race was a success--350 breakfasts were served and everyone seemed to enjoy the food. The church group appreciated that AIR members stayed to help clean up following the breakfast.

Sincere thanks went out to Race Director Deborah Dunham for an excellent job and all her hard work.

A total of $1,520.00 was paid to St. Peter’s for the breakfast. A motion was presented to donate an additional $750.00 from the race proceeds. The motion was seconded and carried by all present.

Jim Hill made a motion to give $200 to the non-profit Geenway group. Bill Pennington seconded and the motion carried.

Members present discussed a date for the Pirates Run for next year. Possible conflicts to consider are the 26.2 With Donna marathon, the Ortega River Run, the Gate River Run and the Winter Beach Run. Ed will check the Winter Beach Run schedule. The Reindeer Run is set for Saturday, December 5, 2009.

Gate River Run – Sharing the hospitality area with the Florida Striders was a big success from our vantage point. Ed thanked everyone who helped in the hospitality area.

Other recent club activities -- On February 28 David Vigh spoke to a Gate River Run training group. John McBrearty, Bill Barnes, Jim Hill and Rosa Haslip volunteered at the Chamber of Commerce Health Fair, where AIR had a table.

New Business

The AIR anniversary party is on April 18 at 6:00 p.m. at the Kraft Athletic Club. Susan Stanley stated she talked to Coach Roy Benson about coming to the party. Ed mentioned that Norm and Frieda Wyner plan to come up from St. Augustine. Matthew Altman will provide the sound system. AIR will pay for the food — burgers, hot dogs and sodas. The party is free and open to club members and their families.

Katie Ride for Life – Individual registration is $30 with a minimum of a $100 donation per person. A motion was made to contribute $500 to the Katie Ride. The motion was seconded and carried. A 5K/10K walk in Fort Clinch is included in the Katie Ride activities this year.

Scholarships will be approved at the April 15, 2009 club meeting. Matthew Altman, John McBrearty, Bruce and Deborah Dunham will review the scholarship applications.

Summer Running Camp – Bill Beaumont is in charge of the running camp again this year. Discussion followed regarding possible guest speakers. Bill will let us know the dates he will be available for the camp this year.

Ed reminded everyone about the upcoming election of officers April 15. Members can email Ed with nominations. Offices include President, Vice President, Treasurer, Secretary, At-Large Board Member and race directors for the Reindeer Run and Pirates Run. Jim Hill has volunteered to continue as race director for the Turtle Trot. Ed stated that a race director is needed for the Reindeer Run.

Ed received an email regarding a new race in St. Marys on May 23, the Fun in the Sun 5K race. A fund-raising walk for Cystic Fibrosis will be May 16 at 8:00 at Fort Clinch. Girls on the Run 5K will be at FCCJ on May 9.

Ed reported that Norm purchased a Flip recorder for making videos to put on the website. Ed suggested AIR purchase a flip to use at the races. The cost is approximately $180.00. Members present approved the purchase. Ed will buy the recorder before Bill Pennington’s trip to the RRCA Convention so Bill can take it with him.

Club President Ed Hardee called the meeting to order at 7:35 p.m.

Treasurer’s Report:

Bruce Dunham reported the current balance is $14,534. Income from the Reindeer Run totaled $9,183.73. Expenses amounted to $4,643.

Old Business:

Donna Hicken Marathon – Eleven people from AIR participated in either the marathon or half marathon on February 15. Ed suggested next year AIR have a water table at the race.

Money from the Reindeer Run was allocated to the following charities: $500 to the Humane Society; $500 to Friends of Fort Clinch and $2,000 to Healthy Families/Healthy Start. A motion was made and all members present approved.

Pirates Run – Ed reported Beech Street will be closed off for the race. The Parks and Recreation Department has been working to improve the greenway. Sarah Croft will be singing the National Anthem.
The numbers are up compared to the Reindeer Run. The 2008 Reindeer Run had 316 finishers. As to date 468 people have registered for the Pirates Run.

Members discussed items needed for the hospitality area for the Gate River Run.

AIR anniversary party – Rosa stated she was waiting to hear about using the Kraft Athletic Club. Members discussed possible dates in April. Rosa will follow-up with more information at the next meeting.

Norm Wyner has put together a questionnaire form that can go online or be emailed to members. Ed asked for input.

Application deadline for the scholarship is April 1. Deborah Dunham has been updating and working on the scholarship application.

New Business:

Ed announced that Bill Pennington will go to the National RRCA Convention to receive an award for national Outstanding Club Writer of the Year. Jim Hill made a motion that AIR pay $650 towards his trip, which includes the convention registration and two nights hotel expenses. Emylee McBrearty seconded the motion. The motion carried unanimously.

On February 28 there will be a Health Fair held at Journey Church on Sadler Road. AIR will set up a table and Rosa will bring club merchandise.

Ed stated Bob Boyd called him about the Florida Striders’ Elementary School Walk/Run program. The Striders grant $500 to schools that participate, and also provide incentives for the kids throughout the year. The program is for kids ages 6-12 at both public and private schools. Bob Boyd’s wife has offered the partner with AIR to support this program.
Emylee McBrearty suggested using money from the Pirates Run or from other races to support such a program. Another possibility is not to charge kids the registration fee and no t-shirt or ribbon and give their school money. Money would go to the school with the most participants. Members present agreed to work toward starting a program for Nassau County beginning with the start of the next school year this fall.

Ed received an email regarding a new race in St. Mary’s on May 23. Fun in the Sun 5K race.

Members discussed purchasing AIR bumper stickers. Ed will need to follow up on price. Members discussed using the smaller type sticker to put in car windows instead of the bigger one.

Treasurer’s Report

Bruce Dunham reported he put $5,000.00 in an 8-month CD the end of December. The current balance in checking is $9,900.00. Donations to our three charities in the Reindeer Run have not yet been paid.

Old Business

Bruce reminded everyone that sponsorships for the Pirates Run are due by February 1, 2009.

Ed reported the Pirates on the Run Committee met. Forty entries have been received to date. The finish line location has changed; the race will begin at St. Peter’s Church and end at Central Park.

Ned Tyson, Ed Hardee and John McBrearty met with David Caples to discuss integrating a 5K/10K walk during the Katie Ride. The walk will be open to the public. The 5K/10K will be in and out of Fort Clinch. Ned stated they have 6-8 volunteers. The entry fee if $25. Walking teams are encouraged to raise $100.00 for the entry fee.

Ed reminded everyone we need to get something together to recognize the FBHS cross-country team. A possibility would be to pay for the food for an awards ceremony for the students.

New Business

Ed said he will not be available to help with the River Run hospitality area this year due to another commitment. He asked for volunteers to help John McBrearty set up the hospitality area. Bill Pennington offered to help, along with Rosa Haslip. Rosa has a list of items needed for the hospitality area from last year. Items discussed included massages, porta-let, food, drinks, changing the location and improved security.

In April the Amelia Island Runners will celebrate five years as a running club. Ed proposed having a social or a guest speaker. Members discussed the social be on a Saturday evening with dinner and door prizes. Ned Tyson suggested checking with the Kraft Athletic Club for a place to have the social. Ned said he will check with the Athletic Club.

Ed mentioned the new photo album on the AIR website. There are currently 400 pictures from the Reindeer Run in the space. You can find your race pictures and request a higher-resolution version at no charge. A larger storage space will be needed for more pictures. The one megabyte package costs $27.00 a year. A bigger package (10 megabytes) costs $133.00. A motion was made to purchase the smaller package for $27.00. The motion was seconded and approved by members present.

Ed reported 2,200 visitors to the AIR website in the month of December. Sponsor logos are also on the website. Ed commended our Webmaster, Norm Wyner, for keeping the site fresh and interesting with frequent updates.

Ed reminded everyone to be open to new ideas to reassess what the club can do in the future. Bill Barnes suggested hiring a race director to relieve some of the mundane activities. Ed stated that a lot of money is spent on printing and postage for the newsletter. Rosa suggested using a survey monkey. The survey would be available online and participants would remain anonymous. Ed asked members to think about what needs to be addressed in a survey and send suggestions to him. Ned Tyson offered to head up a Visionary Committee for future planning.

Susan Stanley suggested it would be nice to pull in students from the Yulee High School cross-country team.
