2010 MEETING MINUTES

Club President Ed Hardee called the meeting to order at 7:35 p.m.

Old Business
Weight Watchers Walk-It Day 5K – John McBrearty reported more than 100 walkers and runners registered for the event. Participants came from Palm Coast, Jacksonville, Waycross, Callahan and other surrounding areas. Liz Kawecki led warm-up exercises and members of the Fernandina Pirates Club handed out water to the participants. The proceeds will go to Warrior Vacations.
New Business:
Jennifer and Mike Harrison presented information about the Old Fernandina 200th Birthday Party scheduled for April 2, 2011. Jennifer gave a brief history of the Old Town Fernandina bicentennial. The committee meets once a month, and organizers represent such groups as the Amelia Island Museum of History, Chamber of Commerce, Amelia Island-Fernandina Restoration Foundation and the Amelia Island Genealogical Society. Activities planned for the event include a fun day about Old Town history, reenactments in costume, a geological dig, Spanish music, a pirate invasion, Karibrew Centennial Beer, Ladies of Lady Street, in-costume tour of the cemetery, and naturalists from the State Park.
The annual AIR Summer Camp will be June 21-25 from 9 to 11 a.m. at Fernandina Beach High School, led by Bill Beaumont. Jerry Lawson, a former U.S. marathon record holder, will be a guest speaker.
At the senior awards assembly Deborah Dunham presented this year's AIR scholarships to five members of the FBHS cross-country team, Bradley Bunch, Landon Kovalick, Christina and Stephanie Strasser, and Jazz Tomassetti.
Ed announced that Susan Stanley has volunteered to serve as director for the Reindeer Run in December. Jim Smith has also volunteered to help.
Ed announced the new running store on 8th Street is now open. Rosa suggested talking to Tom Tucker, the store co-owner, about selling club merchandise.
Everyone was reminded that the Turtle Trot is only a few months away. Coach Roy Benson made a motion to hire someone to input registration data for the Turtle Trot. Gary Haslip seconded the motion. The motion carried.
Ed suggested supporting the girls’ and boys’ cross-country teams at each of Nassau County’s high schools by giving $100 for the girls’ team and $100 for the boys’ team. Last year schools were eligible for AIR support by submitting a request. Coach Roy Benson will contact Coach Durr at FBHS about the teams’ needs.
Coach Benson said he talked to Doug Alred about coming to a club social in the fall to talk about the history of running in North Florida. There would be no business meeting, just food, drink and socializing. Coach Benson offered to help Rosa coordinate the social. Members discussed other options for future socials such as a “one-minute medical clinic,” nutrition, and a coaches’ night.
A volunteer awards program was discussed.

Attendance: Bill Beaumont, Rose Bennett, Bruce Dunham, Ed Hardee, Rosa Haslip, Robin Lentz, Toby Lentz, Bill Pennington Club President Ed Hardee called the meeting to order at 7:45 p.m. Treasurer’s Report Bruce Dunham reported a current balance of $13,748.45, from which $3,000 in scholarship checks will be awarded Friday at the FBHS senior class awards ceremony. Robin Lentz reported on the American Cancer Society's 2010 Relay for Life, which will be held for 18 hours starting at noon Saturday, Oct. 2 at Yulee High School. She proposed that Amelia Island Runners be represented and field a team of runners and walkers. The club would need to commit $100 and each runner/walker will be asked to raise $100, and the club would have a booth at the event, whose theme this year is "Celebrating More Birthdays." Bill Beaumont offered to provide his camper as the AIR headquarters in lieu of a tent. Members present voted unanimously for AIR to participate. Ed reported on the Walk-It Day 5K, a walk to be held Sunday, June 6 at Fort Clinch. It is part of a national program of 5K walks to be held on that date, a joint venture of Weight Watchers, the RRCA and RRCA member clubs. Ed said Amelia Island Runners will be presenting the event at Fort Clinch, and proceeds will go to the Wounded Warrior project, which will help provide volunteers for the 5K. Ed said the club newsletter has now gone electronic, and a letter will be mailed to all AIR members to make sure we have their correct e-mail addresses, and also to inform them of their renewal dates. Ed provided a proposed copy of the letter for the group's review, and changes were proposed that Ed will incorporate in the final version. Ed said that the AIR decals the group had requested have been ordered and should be arriving soon, and he will include a decal in each letter. The decals are "window cling" types with the AIR logo and website address. The Turtle Trot date has been cleared for Labor Day weekend, Saturday Sept. 4. Rosa reported that the 2011 Pirates on the Run date has been cleared for Feb. 19, 2011. Ed gave a report on the RRCA convention in Lakeland last month. He said Lake Grapevine, TX's club has monthly meetings at a restaurant with scheduled speakers, as AIR has been considering. Rosa said she and Roy Benson have been discussing having quarterly get-togethers with guest speakers on subjects of interest to runners. Rosa proposed purchasing appetizers for the next social event. The group supported that idea, with Ed saying Lake Grapevine pays for food and other expenses for some of its social events to increase participation, which furthers the mission of encouraging running. Ed also reported on what he and John McBrearty had learned at the convention about race timing systems available for clubs to purchase. Ed said two different systems were available for roughly $10,000 each, one using reusable chips and the other using disposable race bibs for the chip function. Ed said he wasn't proposing that the club buy them because they would require volunteers to be trained to use them, but he was reporting back because the directors had discussed it in the past. The election of officers was opened, nominating Ed Hardee to continue as president. The motion was seconded and carried without opposition. Phil Scanlan was AIR’s guest speaker for the evening. Mr. Scanlan presented information about the Amelia Island Trail Project. He is part of a team that has been working on the trail project since 1989. The objective is to provide safe paths on Amelia Island for walkers, runners and cyclists. A trail plan has been developed to cover approximately 50 miles of paths. Mr. Scanlan displayed two maps, one showing Amelia Island trails for casual bicyclists and one for advanced bicyclists. He stated that the AIT applied for and received a $2.5-million grant for the project. Ed said he and John McBrearty will attend the RRCA Convention on April 24 in Lakeland, FL. Ed will be accepting the award for 2009 outstanding small club newsletter. They will be leaving Friday and returning on Sunday. Bill Beaumont made a motion to pay their convention registration fee of $250 each. The motion was seconded and passed by members present. A new webmaster is needed to keep the AIR website updated. Members discussed contacting high school students who might be interested. Coach Benson suggested paying someone to enter data into Excel for AIR race registration. He also suggested another possibility of paying an executive secretary to handle correspondence, race registration, etc. Discussion followed and will be put on the agenda for next month. Robert Peters talked about Warrior Vacations, a local outreach program to give military personnel who have been deployed to Iraq and Afghanistan an opportunity to vacation with their families while on leave at no cost. So far, 90 local condo owners have loaned vacation properties. The program is open to active military personnel at Fort Stewart and the Florida National Guard. Robert requested AIR’s support by making Warrior Vacations a beneficiary of one of AIR’s races. Ed reminded everyone about the Haiti Run on Saturday, April 24 at 9:00 a.m. at Main Beach. Profit from the Pirates Run was $3,800.00 after most expenses were paid. Old Business The River Run was great and the shared hospitality area with the Florida Striders was a big success. Ed thanked all the volunteers. Ed shared a thank-you note from the Police Auxiliary Corps for AIR’s donation to the auxiliary. Ed reported the deadline for scholarship applications is April 1. Two applications have been received. New Business Summer running camp was discussed. Bill Beaumont will coordinate the camp again this year. A possible date is the third week of June. Turtle Trot (Labor Day) – Ed stated there will be another race in Jacksonville on the same day. He suggested we start planning early. The first Bunny Hop was on April 3 at the Amelia Island Plantation. Other races coming up were the Cops and Kids 5K and Don’s Friends 5K in St. Augustine on April 10. The Run/Walk for Haiti relief will be on April 24 at Main Beach starting at 9:00 a.m. and on May 1 the Shrimp Festival 5K. Ed received a call from Rotary Club asking for help with a possible race in the fall. AIR will help by offering guidance and race information. AIR was notified by RRCA that Runner's Hi won the national award for the best small-club newsletter. Ed will accept the award at the annual RRCA Convention in Lakeland on April 24. Ed and John McBrearty will represent AIR at the convention. Nominations for new officers will be at our April meeting. Marilyn Roberts suggested contacting members by phone to find out if anyone is interested in volunteering for an office. A personal approach at races would be another alternative. Coach Benson stated it is important to get frequent change in leadership to avoid burnout. Ed will post an article by Coach Benson in a club email to encourage club members to step up and volunteer for office. Members discussed ways to encourage members to attend monthly meetings. Betty Benson suggested having a social hour with a guest speaker before meetings. Members discussed having a social on a night different than the club meeting. Ed asked members to approve the purchase of Amelia Island Runners’ bumper stickers or decals. The cost would be $200 for 500 or $250 for 1,000. The stickers could be distributed to members for the 6th anniversary of the Club. Most members present preferred the window decal. Members present approved the purchase of bumper stickers or decals. Treasurer’s Report
Bruce Dunham reported a balance of $18,894.00 before expenses, plus the $5,000 CD.
Old Business
Pirates on the Run - Rosa reported she received positive feedback regarding the Pirates Run. Everybody enjoyed the race and breakfast. About 590 people registered for the 5K/10K, another record. Ed stated that 310 people ate breakfast. AIR also provided breakfast for the parishioners and the homeless.
John McBrearty made a motion to give $500 to the Police Auxiliary Corps for their assistance with the Pirates Run. Bruce Dunham seconded the motion. The motion carried.
Rosa suggested changing the Pirates Run to the Recreation Center next year, because the logistics of the current downtown location require many more volunteers and pose logistical problems with things like parking and separate start/finish lines. Members discussed different potential course routes and distances. Rosa made a motion to change the Pirates on the Run start to the Recreation Center. Discussion followed, but no final decision was made. Further planning will be discussed at future meetings.
Bill Beaumont suggested we should consider listing the sponsors on award plaques for future races.
Ed applauded Rosa for doing a great job as race director for the Pirates Run.
Ed reported seven chips were not returned. Since most were for the children’s run and it wasn’t clear on our signage that chips weren’t needed for the children’s run, AIR will pay for the missing chips this time.
Gate River Run – AIR will be sharing the hospitality area with the Florida Striders again this year. Volunteers are needed to help with membership, AIR merchandise and checking wristbands at the entrance of the hospitality area.
New Business
Katie Ride for Life – A motion was made to contribute $500 to the Katie Ride. The motion was seconded and carried. Five spots will be open to club members on a first come basis. Members discussed offering the spots to AIR volunteers. Discussion followed, with consensus that the club consider ways to reward volunteers.
Rose Bennett announced that Memorial United Methodist Church will have a 5K fun run and a kid’s one mile run to help raise money to benefit Haiti disaster victims. One hundred percent of the proceeds will go to Haiti relief. The fun run will be on April 24 at 9:00 a.m. at Main Beach. A $10 donation is suggested for adults and a $5 donation for children. Participants will receive a free pass to Putt Putt golf. Ed asked questions about insurance for the race. Rose will check on the insurance through the church.
John McBrearty reminded everyone the Special Olympics will be on February 26, 10:00 a.m. to noon at the FBHS track.

Treasurer’s Report:
Bruce Dunham reported an income of $9,800 from the Reindeer Run and expenses amounting to $5,700. The current balance is $9,500 plus the $5,000 CD.
Old Business
Proceeds from the Reindeer Run will benefit Healthy Families/Healthy Start and Friends of Fort Clinch. Bruce made a motion to increase the amount to $2,500 for Healthy Families/Healthy Start and donate $500 to Friends of Fort Clinch. Rosa seconded the motion. Motion carried.
Some of the proceeds from the race went towards a banquet for the Fernandina Beach Cross Country team. Coach Benson reported approximately 75 people attended the banquet. Ed stated that Coach Benson worked with the cross country team all school year as a volunteer assistant coach.
Scholarships - The 2010 scholarship application has been posted online. Deborah Dunham has sent applications to all four Nassau County high schools. John McBrearty made a motion to offer one $1,000 and four $500 scholarships. Coach Benson seconded the motion. The motion carried.
Ed reported he received a call from the Sheriff’s Department requesting help with a 5K on April 10 at Fort Clinch. Ed stated he encouraged them to use a card system if they are planning to time the finishers. Ed and John plan to meet with the race organizers once our own Pirates on the Run is completed.
New Business
Robin Lentz announced plans to have a fund-raising 5K on April 4 called the Bunny Hop 5K. Money raised would benefit the American Cancer Society's Relay for Life. Robin stated the course would be the same one used for the Turkey Trot at the Amelia Island Plantation. Members suggested making it a fun run and giving medals to the overall male and female finishers. John McBrearty offered the use of the club's timing clock and suggested using the tab system at the finish. He stated bib numbers could be ordered through Road ID for free. Rosa Haslip stated information for race directors could be obtained online.
Bill Barnes made a motion to have AIR be a sponsor contributing $200 for the Bunny Hop 5K. Discussion followed. Bill rescinded first motion and made a second motion to make a $200 donation for a team for Relay for Life in November. John McBrearty seconded the motion. Discussion followed and motion did not carry. Rosa suggested delaying the discussion to determine how many AIR members would be interested in participating as a team in the Relay for Life.
Robin reported there are now 25-30 kids active in Yulee on the Move.
Pirates on the Run: Rosa, the race director, reported preparations are going well. We have 14 sponsors for the race. We still need volunteers. Donna Scalia volunteered for a water station. Pete Scalia is in charge of traffic and parking. Pete will make signs to direct people to parking areas. Charities will include AIR scholarships and St. Peter's Church mission trips.
John McBrearty suggested putting together a directory for AIR. He had a sample from the Island Art Association. John stated the directory would promote unity in the organization. A permission form would need to be emailed to all members asking for permission to add name and information to the directory. Discussion followed but no decision was made.
