2010 MEETING MINUTES
Attendance: Bill Barnes, Bill Beaumont, Coach Roy Benson, Ed Hardee, John McBrearty, Marilyn Roberts, Tom Tucker, Chris Twiggs
Club President Ed Hardee called the meeting to order at 7:30 p.m.
Treasurer’s Report: No report was available.
Old Business
Reindeer Run – Ed reported 350 participants turned out for the race. The number is approximately 50 less than last year. Ed suggested donating leftover shirts from the race to Barnabas. John McBrearty suggested having a low-cost bargain beach run to give out leftover shirts. Discussion followed. Ed stated he would take extra shirts to Barnabas. Proceeds from the race will benefit the Healthy Start program, Friends of Fort Clinch, the Police Auxiliary and Yulee Middle School Band. A motion was made to give $2,000 to Healthy Start, $500 to Friends of Fort Clinch, $500 to the Police Auxiliary and $200 to the Yulee Middle School band. The motion was seconded and carried.
Pirates on the Run – John McBrearty talked to Susan Hurley at the police department about the course change. Bill Beaumont suggested a loop course for the 5K. Discussion followed.
Tom Tucker stated he talked to an Adidas representative about technical tees. He stated that cost would be approximately $5.00 per shirt without printing. An order would need to be placed soon to secure price. Ed will check with P5 Production to see if they will put silk screen on technical shirts. Members discussed setting a limit on shirts so that pre-registered runners would be guaranteed a technical t-shirt.
Sponsors are needed for the Pirates on the Run race. A sponsorship costs $200.00.
Reindeer Run 2011 – Ed stated there will be a planning meeting next week. It was suggested that registration and packet pickup could be at Current Running. Another suggestion was to have someone at Current Running do registration. Ed will take suggestions to Pattee Boler at next week’s meeting.
New Business
Ed stated that Amelia Arts Academy contacted him requesting help with a race.
Coach Roy Benson said eight students have signed up for the Youth Program--four students from Fernandina Beach Middle School and four from Fernandina Beach High School. Coach Benson talked to Pete Kovalick who volunteered to help in the spring.
Another social will be scheduled for sometime in January. Tom will email contact to set up date.

The current balance is $9,600.00 plus the $5,000.00 CD. Old Business Reindeer Run – Susan reported that registration is covered and the Boy Scouts would monitor the water stops along the course. Pattee Boler will help with the kids' run and refreshments. Susan asked if anyone would know of contacts to get items for a drawing. Also it would be helpful to get more items for the packets. Ed suggested a volunteer coordinator to help with the races. Bill Beaumont will be Santa again this year and the Yulee Middle School Band will be playing Christmas songs along the course. Ed reported he received an email request from CIS to sell hot chocolate at the race. Members present elected not to have vendors selling products at the race. Ed will contact CIS. Pirates on the Run will be February 5, 2011 and will begin and end near St. Peter’s Episcopal Church. Runners will cross Atlantic and run east on Atlantic to Citrona and onto the greenway. This will be an out and back course. The children’s run will start at the church but not on Atlantic. The pancake breakfast will be offered again this year. Rosa is looking for a major sponsor for the pancake breakfast. Rosa stated that short sleeve technical shirts will replace the cotton long sleeve shirts for Pirates on the Run 2011. Reindeer Run 2011 - Pattee Boler discussed plans for the Reindeer Run Half Marathon and 5K. Artist for the logo, price for shirts and medals were discussed. Members discussed artwork possibilities for medals such as 8 Flags, lighthouse, pelican or giving a key chain. The course would include a section of North Fletcher, Fort Clinch and Old Town. Ed talked to Susan Hurley and she is ready to help. Pattee said she needs to work on a registration form for the race. Registration forms could be put into the Marine Corps or Pumpkin Run in October. Also, she will check into having caroling along the course. Ed mentioned the Donna Hicken Relay team. The Danny Brown Challenge is a relay for high school kids. The winning high school team gets to keep the trophy for one year until the next year’s race. The school’s name will be engraved on the trophy cup. There are five students to a team and no charge for high school students. New Business Sponsoring an awards banquet for the Fernandina Beach High School cross country team was discussed. The awards banquet would be on December 7. Rosa made a motion to give $250 for the awards banquet for the Fernandina Beach High School cross country team. The motion was seconded by Bill Barnes. The motion carried. Coach Benson is proposing a youth development program for kids. The program would start when cross country is over, beginning in May or June. Kids would get instruction, AIR membership, a hoodie, a tech singlet and coaching. The youth development program would cost $50.00 per student. Bill Barnes made a motion that AIR support Coach Benson’s youth development program. John McBrearty seconded the motion. The motion carried. Steve Nicklas presented information about the first Pirates on the Run race in 2004. Ned Tyson had the idea for the Pirates on the Run. Ned, along with Joe Gerrity and Steve Nicklas launched the first Pirates on the Run 10K in 2004. Ned Tyson recently passed and in honor of Ned, Steve thought it would be appropriate if the Amelia Island Runners would honor Ned’s name at the next Pirates on the Run race. Members discussed ways to honor Ned such as name on the shirt, moment of silence, bio in honor of Ned, or a Ned Tyson award for last walker/runner finished. Discussion followed to continue an award each year in honor of Ned. Ed mentioned that Deborah Dunham will coordinate the Scholarship committee this year. If anyone is interested in serving on the committee, let Ed know. Ed received an email about the Green Cove Springs Freedom 8K on Memorial Day. The event will be to support veterans. They are asking AIR to support the 8K. Ed said the Striders had previously held the race in Green Cove Springs each year and had been surprised to learn after the fact that the city had contracted with a different group. Ed said the Striders will move their Memorial Day 5K to Orange Park. Ed noted the support the Striders have given to Amelia Island Runners in the past, including allowing us to be part of their Gate River Run hospitality area. The sense of the group present was that AIR should support the Striders' race, in light of their longstanding support for us. Members agreed to continue support for the Wounded Warrior Project. However some major expenses from the Turtle Trot have not yet been submitted Old Business Bill Barnes reported the Relay for Life will be on October 2, and he encouraged others to make pledges for the number of miles run or walked. Ed thanked all of the volunteers, and especially Jim Hill, for their time and hard work on the 2010 Turtle Trot. This was Jim's fourth year as race director. Next year will mark the 10th anniversary of the Turtle Trot.
At the last meeting members agreed to give each Nassau County high school $250.00 to be used at the cross country coaches’ discretion. Ed will disburse the funds to the coaches. New Business Ed will apply for use of the lights at the FBHS track for our weekly group runs starting the first week of November, when Daylight Savings Time ends, through the end of January. The charge to AIR for using the electricity was $75 per session last year. Race Director Rosa Haslip is working on plans for the 2011 Pirates on the Run. The race will begin at St. Peter’s Episcopal Church. The running route and finish will be determined based on input from the city and police. Rosa would like to have the start and finish lines at the same location if possible. Jim Smith and Susan and Katie Stanley will be race directors for the Reindeer Run this year. The planning committee stayed after the AIR meeting to coordinate plans for the race. 2011 Reindeer Run – Pattee Boler, Liz Kawecki, Susie DeMille and Karina Grego presented information about adding a half marathon to next year’s Reindeer Run. The race would be a 5K and half marathon instead of a 5K/10K. Members discussed possible race routes, needing more volunteers and sponsors for the race. Coach Benson suggested beginning by getting sponsors who will support a half marathon on the Island. There was discussion of a possible date change for the race. Late January was suggested. Ed suggested that the Tourism Development Council be contacted, since the race would attract runners from out of town to stay overnight, which would be an added benefit to Fernandina Beach. Susie DeMille made a motion to change the 2011 Reindeer Run to a 5k/half marathon. Bill Barnes seconded the motion. The motion carried. Coach Benson announced the next AIR social and speakers' night will be the evening of October 19 at O’Kane’s Irish Pub and Eatery. Doug Alred will present the history of the running boom in North Florida. Future socials will be held quarterly. The next social will be scheduled sometime in January. Future guest speakers hopefully will include Chris Twiggs on ultra and trail running, and a representative from the new Current Running store. Ed received a request from Alma Bailey to support Callahan Elementary’s after-school running program by purchasing chains for the recognition toe tokens. The cost of the chains is $260.00. A motion was made that AIR support the Callahan Elementary School Run/Walk Club by paying $260.00 for the chains. The motion was seconded and carried. Ed will order them. Old business: Turtle Trot: Ed reported there are 75 entries to date. Jim Hill will order the same number of shirts as last year. John McBrearty will order the plaques and he or Ed will contact the Police Auxiliary. Jim reported there will be approximately 14 people from the Amelia Island Sea Turtle Watch to help at the water stations. Ed stated we need a volunteer with a truck to put out the orange cones on Thursday evening. Jim reported that there will be a massage therapist available at the race. Members discussed supporting the Nassau County high schools’ boys’ and girls’ cross-country teams again this year. Ed suggested giving each school $250.00. Jim made a motion to give each Nassau County high school $250.00 to be used at the coaches’ discretion. Bill Beaumont seconded the motion. The motion carried by all present. Ed said he has some receipts for reimbursements for recent expenses that he will submit. Old Business Walk It! Challenge: Bruce reported that our Walk It! Challenge walk/run netted $2,600 for the Warrior Vacations program. Turtle Trot: Race Director Jim Hill said race volunteers have met and gone over the status of preparations, and Mary Duffy, president of the Amelia Island Sea Turtle Watch, said that group will again provide race volunteers. Jim has been contacting local businesses and requesting sponsorships. Relay for Life: Bill Barnes, our team captain for the Relay for Life, reported on several ideas to encourage club members' participation. Bill will submit a writeup for the AIR e-newsletter and website. Pirates on the Run: Race Director Rosa Haslip has come up with a proposed new course for the 2011 race, which would start at the Recreation Center but still run through the Greenway. Our course-measurement team will measure the course. Ed said he would contact Susan Hurley with the City of Fernandina Beach to make sure the city had no problems with traffic control for the new route. New Business Ed reported that a group of local runners are making plans for a half-marathon on the island, possibly as soon as early next year. Our guest speakers for the evening were Tom Tucker and Vincent Grupposo of Current Running, the island's new running store. Tom said they came up with the idea because it takes several hours to go to Jacksonville for running shoes. They originally wanted to try an Internet-only store, but suppliers said a brick-and-mortar store would be required. They opened their doors June 1 as they were beginning to receive product from their suppliers. Now pretty much all of the product has arrived and they had a successful grand opening and "a great first week." Old Business Weight Watchers Walk-It Day 5K – John McBrearty reported more than 100 walkers and runners registered for the event. Participants came from Palm Coast, Jacksonville, Waycross, Callahan and other surrounding areas. Liz Kawecki led warm-up exercises and members of the Fernandina Pirates Club handed out water to the participants. The proceeds will go to Warrior Vacations. New Business:
Jennifer and Mike Harrison presented information about the Old Fernandina 200th Birthday Party scheduled for April 2, 2011. Jennifer gave a brief history of the Old Town Fernandina bicentennial. The committee meets once a month, and organizers represent such groups as the Amelia Island Museum of History, Chamber of Commerce, Amelia Island-Fernandina Restoration Foundation and the Amelia Island Genealogical Society. Activities planned for the event include a fun day about Old Town history, reenactments in costume, a geological dig, Spanish music, a pirate invasion, Karibrew Centennial Beer, Ladies of Lady Street, in-costume tour of the cemetery, and naturalists from the State Park. The annual AIR Summer Camp will be June 21-25 from 9 to 11 a.m. at Fernandina Beach High School, led by Bill Beaumont. Jerry Lawson, a former U.S. marathon record holder, will be a guest speaker. At the senior awards assembly Deborah Dunham presented this year's AIR scholarships to five members of the FBHS cross-country team, Bradley Bunch, Landon Kovalick, Christina and Stephanie Strasser, and Jazz Tomassetti. Ed announced that Susan Stanley has volunteered to serve as director for the Reindeer Run in December. Jim Smith has also volunteered to help. Ed announced the new running store on 8th Street is now open. Rosa suggested talking to Tom Tucker, the store co-owner, about selling club merchandise. Everyone was reminded that the Turtle Trot is only a few months away. Coach Roy Benson made a motion to hire someone to input registration data for the Turtle Trot. Gary Haslip seconded the motion. The motion carried. Ed suggested supporting the girls’ and boys’ cross-country teams at each of Nassau County’s high schools by giving $100 for the girls’ team and $100 for the boys’ team. Last year schools were eligible for AIR support by submitting a request. Coach Roy Benson will contact Coach Durr at FBHS about the teams’ needs. Coach Benson said he talked to Doug Alred about coming to a club social in the fall to talk about the history of running in North Florida. There would be no business meeting, just food, drink and socializing. Coach Benson offered to help Rosa coordinate the social. Members discussed other options for future socials such as a “one-minute medical clinic,” nutrition, and a coaches’ night. A volunteer awards program was discussed. Attendance: Bill Beaumont, Rose Bennett, Bruce Dunham, Ed Hardee, Rosa Haslip, Robin Lentz, Toby Lentz, Bill Pennington Club President Ed Hardee called the meeting to order at 7:45 p.m. Treasurer’s Report Bruce Dunham reported a current balance of $13,748.45, from which $3,000 in scholarship checks will be awarded Friday at the FBHS senior class awards ceremony. Robin Lentz reported on the American Cancer Society's 2010 Relay for Life, which will be held for 18 hours starting at noon Saturday, Oct. 2 at Yulee High School. She proposed that Amelia Island Runners be represented and field a team of runners and walkers. The club would need to commit $100 and each runner/walker will be asked to raise $100, and the club would have a booth at the event, whose theme this year is "Celebrating More Birthdays." Bill Beaumont offered to provide his camper as the AIR headquarters in lieu of a tent. Members present voted unanimously for AIR to participate. Ed reported on the Walk-It Day 5K, a walk to be held Sunday, June 6 at Fort Clinch. It is part of a national program of 5K walks to be held on that date, a joint venture of Weight Watchers, the RRCA and RRCA member clubs. Ed said Amelia Island Runners will be presenting the event at Fort Clinch, and proceeds will go to the Wounded Warrior project, which will help provide volunteers for the 5K. Ed said the club newsletter has now gone electronic, and a letter will be mailed to all AIR members to make sure we have their correct e-mail addresses, and also to inform them of their renewal dates. Ed provided a proposed copy of the letter for the group's review, and changes were proposed that Ed will incorporate in the final version. Ed said that the AIR decals the group had requested have been ordered and should be arriving soon, and he will include a decal in each letter. The decals are "window cling" types with the AIR logo and website address. The Turtle Trot date has been cleared for Labor Day weekend, Saturday Sept. 4. Rosa reported that the 2011 Pirates on the Run date has been cleared for Feb. 19, 2011. Ed gave a report on the RRCA convention in Lakeland last month. He said Lake Grapevine, TX's club has monthly meetings at a restaurant with scheduled speakers, as AIR has been considering. Rosa said she and Roy Benson have been discussing having quarterly get-togethers with guest speakers on subjects of interest to runners. Rosa proposed purchasing appetizers for the next social event. The group supported that idea, with Ed saying Lake Grapevine pays for food and other expenses for some of its social events to increase participation, which furthers the mission of encouraging running. Ed also reported on what he and John McBrearty had learned at the convention about race timing systems available for clubs to purchase. Ed said two different systems were available for roughly $10,000 each, one using reusable chips and the other using disposable race bibs for the chip function. Ed said he wasn't proposing that the club buy them because they would require volunteers to be trained to use them, but he was reporting back because the directors had discussed it in the past. The election of officers was opened, nominating Ed Hardee to continue as president. The motion was seconded and carried without opposition. Phil Scanlan was AIR’s guest speaker for the evening. Mr. Scanlan presented information about the Amelia Island Trail Project. He is part of a team that has been working on the trail project since 1989. The objective is to provide safe paths on Amelia Island for walkers, runners and cyclists. A trail plan has been developed to cover approximately 50 miles of paths. Mr. Scanlan displayed two maps, one showing Amelia Island trails for casual bicyclists and one for advanced bicyclists. He stated that the AIT applied for and received a $2.5-million grant for the project. Ed said he and John McBrearty will attend the RRCA Convention on April 24 in Lakeland, FL. Ed will be accepting the award for 2009 outstanding small club newsletter. They will be leaving Friday and returning on Sunday. Bill Beaumont made a motion to pay their convention registration fee of $250 each. The motion was seconded and passed by members present. A new webmaster is needed to keep the AIR website updated. Members discussed contacting high school students who might be interested. Coach Benson suggested paying someone to enter data into Excel for AIR race registration. He also suggested another possibility of paying an executive secretary to handle correspondence, race registration, etc. Discussion followed and will be put on the agenda for next month. Robert Peters talked about Warrior Vacations, a local outreach program to give military personnel who have been deployed to Iraq and Afghanistan an opportunity to vacation with their families while on leave at no cost. So far, 90 local condo owners have loaned vacation properties. The program is open to active military personnel at Fort Stewart and the Florida National Guard. Robert requested AIR’s support by making Warrior Vacations a beneficiary of one of AIR’s races. Ed reminded everyone about the Haiti Run on Saturday, April 24 at 9:00 a.m. at Main Beach. Profit from the Pirates Run was $3,800.00 after most expenses were paid. Old Business The River Run was great and the shared hospitality area with the Florida Striders was a big success. Ed thanked all the volunteers. Ed shared a thank-you note from the Police Auxiliary Corps for AIR’s donation to the auxiliary. Ed reported the deadline for scholarship applications is April 1. Two applications have been received. New Business Summer running camp was discussed. Bill Beaumont will coordinate the camp again this year. A possible date is the third week of June. Turtle Trot (Labor Day) – Ed stated there will be another race in Jacksonville on the same day. He suggested we start planning early. The first Bunny Hop was on April 3 at the Amelia Island Plantation. Other races coming up were the Cops and Kids 5K and Don’s Friends 5K in St. Augustine on April 10. The Run/Walk for Haiti relief will be on April 24 at Main Beach starting at 9:00 a.m. and on May 1 the Shrimp Festival 5K. Ed received a call from Rotary Club asking for help with a possible race in the fall. AIR will help by offering guidance and race information. AIR was notified by RRCA that Runner's Hi won the national award for the best small-club newsletter. Ed will accept the award at the annual RRCA Convention in Lakeland on April 24. Ed and John McBrearty will represent AIR at the convention. Nominations for new officers will be at our April meeting. Marilyn Roberts suggested contacting members by phone to find out if anyone is interested in volunteering for an office. A personal approach at races would be another alternative. Coach Benson stated it is important to get frequent change in leadership to avoid burnout. Ed will post an article by Coach Benson in a club email to encourage club members to step up and volunteer for office. Members discussed ways to encourage members to attend monthly meetings. Betty Benson suggested having a social hour with a guest speaker before meetings. Members discussed having a social on a night different than the club meeting. Ed asked members to approve the purchase of Amelia Island Runners’ bumper stickers or decals. The cost would be $200 for 500 or $250 for 1,000. The stickers could be distributed to members for the 6th anniversary of the Club. Most members present preferred the window decal. Members present approved the purchase of bumper stickers or decals. Old Business
Pirates on the Run - Rosa reported she received positive feedback regarding the Pirates Run. Everybody enjoyed the race and breakfast. About 590 people registered for the 5K/10K, another record. Ed stated that 310 people ate breakfast. AIR also provided breakfast for the parishioners and the homeless.
John McBrearty made a motion to give $500 to the Police Auxiliary Corps for their assistance with the Pirates Run. Bruce Dunham seconded the motion. The motion carried.
Rosa suggested changing the Pirates Run to the Recreation Center next year, because the logistics of the current downtown location require many more volunteers and pose logistical problems with things like parking and separate start/finish lines. Members discussed different potential course routes and distances. Rosa made a motion to change the Pirates on the Run start to the Recreation Center. Discussion followed, but no final decision was made. Further planning will be discussed at future meetings.
Bill Beaumont suggested we should consider listing the sponsors on award plaques for future races.
Ed applauded Rosa for doing a great job as race director for the Pirates Run.
Ed reported seven chips were not returned. Since most were for the children’s run and it wasn’t clear on our signage that chips weren’t needed for the children’s run, AIR will pay for the missing chips this time.
Gate River Run – AIR will be sharing the hospitality area with the Florida Striders again this year. Volunteers are needed to help with membership, AIR merchandise and checking wristbands at the entrance of the hospitality area.
New Business
Katie Ride for Life – A motion was made to contribute $500 to the Katie Ride. The motion was seconded and carried. Five spots will be open to club members on a first come basis. Members discussed offering the spots to AIR volunteers. Discussion followed, with consensus that the club consider ways to reward volunteers.
Rose Bennett announced that Memorial United Methodist Church will have a 5K fun run and a kid’s one mile run to help raise money to benefit Haiti disaster victims. One hundred percent of the proceeds will go to Haiti relief. The fun run will be on April 24 at 9:00 a.m. at Main Beach. A $10 donation is suggested for adults and a $5 donation for children. Participants will receive a free pass to Putt Putt golf. Ed asked questions about insurance for the race. Rose will check on the insurance through the church.
John McBrearty reminded everyone the Special Olympics will be on February 26, 10:00 a.m. to noon at the FBHS track.

Club President Ed Hardee called the meeting to order at 7:35 p.m.
Treasurer’s Report:
Bruce Dunham reported an income of $9,800 from the Reindeer Run and expenses amounting to $5,700. The current balance is $9,500 plus the $5,000 CD.
Old Business
Proceeds from the Reindeer Run will benefit Healthy Families/Healthy Start and Friends of Fort Clinch. Bruce made a motion to increase the amount to $2,500 for Healthy Families/Healthy Start and donate $500 to Friends of Fort Clinch. Rosa seconded the motion. Motion carried.
Some of the proceeds from the race went towards a banquet for the Fernandina Beach Cross Country team. Coach Benson reported approximately 75 people attended the banquet. Ed stated that Coach Benson worked with the cross country team all school year as a volunteer assistant coach.
Scholarships - The 2010 scholarship application has been posted online. Deborah Dunham has sent applications to all four Nassau County high schools. John McBrearty made a motion to offer one $1,000 and four $500 scholarships. Coach Benson seconded the motion. The motion carried.
Ed reported he received a call from the Sheriff’s Department requesting help with a 5K on April 10 at Fort Clinch. Ed stated he encouraged them to use a card system if they are planning to time the finishers. Ed and John plan to meet with the race organizers once our own Pirates on the Run is completed.
New Business
Robin Lentz announced plans to have a fund-raising 5K on April 4 called the Bunny Hop 5K. Money raised would benefit the American Cancer Society's Relay for Life. Robin stated the course would be the same one used for the Turkey Trot at the Amelia Island Plantation. Members suggested making it a fun run and giving medals to the overall male and female finishers. John McBrearty offered the use of the club's timing clock and suggested using the tab system at the finish. He stated bib numbers could be ordered through Road ID for free. Rosa Haslip stated information for race directors could be obtained online.
Bill Barnes made a motion to have AIR be a sponsor contributing $200 for the Bunny Hop 5K. Discussion followed. Bill rescinded first motion and made a second motion to make a $200 donation for a team for Relay for Life in November. John McBrearty seconded the motion. Discussion followed and motion did not carry. Rosa suggested delaying the discussion to determine how many AIR members would be interested in participating as a team in the Relay for Life.
Robin reported there are now 25-30 kids active in Yulee on the Move.
Pirates on the Run: Rosa, the race director, reported preparations are going well. We have 14 sponsors for the race. We still need volunteers. Donna Scalia volunteered for a water station. Pete Scalia is in charge of traffic and parking. Pete will make signs to direct people to parking areas. Charities will include AIR scholarships and St. Peter's Church mission trips.
John McBrearty suggested putting together a directory for AIR. He had a sample from the Island Art Association. John stated the directory would promote unity in the organization. A permission form would need to be emailed to all members asking for permission to add name and information to the directory. Discussion followed but no decision was made.
